Position description

The Housing, Conference & Events Supervisor is responsible for the planning and day-to-day management of Housing facilities for students, and conference and event services for the University community and external groups. This includes managing all aspects of campus event bookings and summer conferences including fulfilling contract obligations, hiring and training student assistants, planning and execution of one-stop-shop services for small and large conferences and events, and ensuring exceptional customer service to students, staff, faculty, and guests. The incumbent provides day to day operational guidance and addresses matters escalated to them by the Coordinator, Events & Summer Camps and the Housing & Conferences Assistant. They contribute input to performance feedback and support and ensure effective service delivery across housing, conference, and event operations.

Position Responsibilities

Housing

  • Supervise all aspects of residence operations including facilities, room assignments, occupancy rate management, ESA contracts, student services and special accommodations.
  • Coach and support residence staff in maintaining high service standards and following operational procedures, including conducting monthly building inspections, organizing fire drills, and ensuring accurate reporting.
  • In conjunction with Residence life and other university departments, orchestrate the successful move-in of residence students each fall and transition each spring to conference and events, while ensuring maximum occupancy.
  • Coordinate with Facilities and Residence Life to ensure timely maintenance and response.
  • Oversee a team of full-time and seasonal personnel to ensure a high level of performance through effective recruitment, selection, training, motivation and professional development and evaluation.
  • Facilitate extended student housing services such as early arrival groups, Winter Stay and Bridging Housing, including liaising with various campus partners.
  • Establish and foster a positive customer service-based culture with a strong focus on equity, diversity and inclusion.
  • Support promotional campaigns and marketing initiatives.
  • Ensure reconciliation of house accounts and approve appropriate billing for damages.
  • Support and contribute to long-term departmental goals.

Conferences & Events

  • Train, supervise and work with staff to solicit and book conferences, banquets and catering functions, as well as the planning and execution of these functions. 
  • Monitor and manage the fulfilment of client contract obligations, event planning timelines, service delivery and administrative procedures.
  • Collaborate with various campus departments and seek opportunities to assemble creative and innovative events based on internal capabilities .
  • Oversee billing and revenue tracking, maintain or exceed financial targets in all areas and prepare operational/ sales reports.
  • Foster effective conference client relationships, evaluate client satisfaction and implement improvements.
  • Assist with promotional campaigns and marketing initiatives.
  • Provide after-hours support to a 24-hour operation, including responding to after-hours calls as needed.
  • Perform other duties as required in support of departmental objectives.

Qualifications/skills

  • College diploma or university degree in Business Administration, Hospitality, Tourism, Public Relations, or a related field
  • Minimum of 2 years of experience in event management, hospitality, university housing, or conference operations, or a related field
  • Ability to work flexible hours, including evenings, weekends, and holidays during peak periods
  • Excellent communication and interpersonal skills with a strong focus on customer service and the ability to work with a wide range of clients, including students, staff, event organizers, and guests
  • Experience with supervising/coaching
  • Excellent organization and prioritization skills with attention to detail and initiative
  • High level of professionalism and sensitivity toward the cultural diversity of the campus community
  • Proficiency in Microsoft Office Suite and various social media platforms
